Under the submenu Ship Schedule, you can find detailed information about a ship and its travelling schedule.
Filtering The Schedules
1. This is the default view when opening the Ship Schedule.
2. As with the other filters you can find your ship easier via the ship group filter.
3. Next, you choose a ship.
4. After pressing the update button you get the results.
You can also find the functions Show pending destinations only and Hide previous schedules which can be marked and unmarked. By default, both squares are checked.
5. If you uncheck the function Show pending destinations only the results will also give information about every port the ship has called in the past.
6. If you uncheck the function Hide previous schedules you can compare if someone changed the travel plan and therefore the next port to be called.
Functions
Marking rows
1. One column can be used to check/uncheck the row
Printing
This allows you to either print the information of that row or delete them.
1. If you click on printing a new window will open which gives you a preview of the information, that is going to be printed. If you have all the necessary information you can press the print button. Additionally, you can also check the box Show agent details which now adds more information that can be printed.
2. If you checked Show agent details you will see more information about the agency. Afterwards, you can press the button print, to print your results.
ETA
1. You can also sort the list by clicking on the arrow ETA. This will now sort the column ETA beginning with the earliest time.
Agent
1. You can also click on the name of the agency to get more details.
2. An additional feature is that you can copy the agency information to your clipboard if you click on the report form next to it.
Remarks
You can also add remarks to a ship.
1. To write a remark click on “new Office Remark”.
2. Now you can add your remark.
3. Press on the button save, if you are finished with adding a comment.
4. Now you can see your remark. If you want to change it, you can click on the edit button.
5. If you want to delete your remark, you can click on “delete”. A pop-up window will open in which you need to confirm the step.
Links
You can find additional information if you click on certain parts of the schedule.
1. By clicking on the report forms the departure and arrival reports will open in a new window.
2. By clicking on the report next to the charterer a new window will open with information regarding the charterer of the ship.
3. If you click on the link Crew Table you will be redirected to the site Crew Table. Here, the results of the chosen ship are shown and you can get more details.
4. If you click on the name of a port you will be directed to the [[port_schedule]|Port Schedule]. Here, the results of your chosen port are shown and you can get more details.
Cancel/Uncancel Schedule
Sometimes there are duplications or wrong schedules and Fleettracker users need to cancel schedules for various reasons. Schedules can be canceled and this can be done via Daily Report 3 and Fleettracker.
To carry out the cancel/uncancel procedure, please follow below steps:
1. Please make necessary information to the filtering tools and click Update to execute your filtering
2. Once the filtering is done, please select the schedule via clicking its tick box and then click the Freeze button.
3. When a schedule is canceled, they become gray for easy spotting. After your confirmation for canceling, the schedule will have gray marking:
***Canceling affects Fleettracker; however, an update from Daily Report 3 to the canceled schedule overrides it unless the schedule is frozen. If you don't want any changes to your cancelation, please freeze the schedule as per the following section.***
Freeze/Unfreeze Schedule
Freezing of schedule is a tool for locking the Schedule information against changes. However, freezing only covers the schedule. After freezing the schedule, reports are changeable/updateable.
To carry out the freeze/unfreeze procedure, please follow below steps:
1. Please make necessary information to the filtering tools and click Update to execute your filtering
2. Once the filtering is done, please select the schedule via clicking its tick box and then click the Freeze button.
3. When a schedule freeze, they got blue signs for easy spotting. After your confirmation for freezing, the schedule will have below blue marking:
Office/Prefill Schedule
You can also add a new row. Sometimes office users are able to know the next schedule(s) before the vessel and this information can be shared on Fleettracker via adding a new row.
This row can be used for relaying the next schedule(s) to the other users of Fleettracker or other departments that can see the Ship Schedule.
1. For this click on “add new Row”.
2. A new row will appear in which you can add information.
3. From the first drop-down menu, you can choose the country of the port.
4. In the second drop-down menu, you can choose the port.
5. On the calendar, you can choose the date and also the time.
6. In the second to last column, you can add remarks.
7. If you need to change the information of the new row, you can click on the button “edit”.
8. Now you can change the information and press on “save” to save the changes.
9. You can also delete the row by pressing on “delete”.
10. A window pops up in which you need to confirm deleting the row. Afterwards, the row is gone.
Attached files
You have the possibility to attach one file of max 10 mb related to a port call. This files can be for example a bunker delivery note or simillar. Any type of files can be uploaded such as .pdf, .doc, .jpg and others.
1. Click on "Durchsuchen/Browse" choose than the file you want to upload from the opened directory.
2. Click on "upload", the file name, the date and time of the upload is displayed in the respective row
You can also delete an already uploaded file by clicking on "Delete"
How to change a destination, destination type and port activity
If as a Fleettracker user you might stumble accross a false entry made by the vessel you have the possibility to change that as discribed below. This could be for instance a wrong UN location code or a wrong destination type perhaps "harbour" instead of "at anchorage", or a wrong or missing port activity.
1. Click on "Schedule" and select "Ships Schedule"
2. Select the vessel, untick the boxes "hhide previous schedules" and "Show pending destinations only", than choose the period as appropriate and click on the "Update" button.
3. Choose the port entry you would like to chage and click on the edit button.
4. You may now select the correct destination or port acvitity from the list.
5. Thereafter please hit the "Update destination" and/or "Update port activity" button.
6. Finally please freeze the port entry you have changed. This is essential from providing that the change will be overwritten from board again. See also "Freeze/Unfreeze Schedule" above in this Help Section.
Remark: If a port or anchorage destination is not available in the list please contact support@herberg-system.com . We will add the missing location in the port list accordingly.
